AI agents are all over the news, but what does that mean for your company of five, fifteen or fifty people? Not a robot that takes over your company, but software that independently performs tasks: answering questions, looking up data, composing emails and updating systems. In this article, five applications that we see working in practice among SMEs: plus an honest chapter about what AI agents cannot do.
1. Answer customer questions
The most commonly used application. An AI agent on your website, in your email or on WhatsApp answers standard questions: opening hours, delivery times, prices, status of an order, warranty conditions. The agent learns from your existing documents, manuals and previously answered emails.
What it delivers: customers receive an immediate answer, even in the evenings and on weekends. In online shops we see that 60 to 80 percent of incoming questions are handled without human intervention. Your team will have time for the questions that really deserve attention.
2. Follow up on leads
A request via your website that remains unresolved for three days is a missed job. An AI agent responds within a minute: he thanks the registrant, asks a few in-depth questions ("when are you looking for this?", "how many pieces are involved?") and, if desired, immediately schedules an appointment in your calendar. The lead ends up enriched in your CRM, so that you can enter the conversation warmly.
What it yields: requesting more turnover from the same flow. Reacting faster than your competitor is often enough to win the order.
3. Prepare quotations
Writing quotations is repetitive work: the same structure, the same texts, different amounts. An AI agent draws up a draft quotation based on the request with your fixed texts, rates and conditions. You check, adjust where necessary and send.
What it yields: where a quotation used to take an hour, you can now complete it in ten minutes. With ten quotes per week, this saves a full working day.
4. Summarize documents
Long reports, contracts, minutes, tender documents: an agent reads them and provides a summary with the points that are relevant to you. Ask in plain language: "Are there different payment terms in this contract?" or "What are the three most important requirements from this tender?"
What it delivers: making decisions faster without spending evenings reading documents. Please note: a human eye remains necessary for a legal or financial final assessment: more about that below.
5. Maintain your agenda and inbox
An agent who scans your inbox, determines urgency, prepares draft answers and schedules or reschedules appointments. You start the day with a tidy inbox and an overview: you have to do this yourself, I have already prepared this.
What it delivers: peace of mind. Less switching between tasks, fewer things falling through the cracks. This is a game changer, especially for self-employed people and small teams without a secretariat.
Practical tip: start with one task that takes up the most time each week and that follows a predictable pattern. This usually involves answering standard questions. Let the agent work for two weeks, measure how much time it saves and only then expand. Starting small works better than trying to automate everything right away.
What AI agents can't do well
Let's be honest: there are limits. An AI agent:
- Doesn't make real relationships. An angry customer with a complex problem wants a person who thinks along and takes responsibility. The agent can prepare the conversation, but not take over.
- Your company is not automatically known. Without good input: your texts, rates, processes: an agent will produce average responses. The quality of the input determines the quality of the output.
- Is not flawless. Agents sometimes come up with answers that sound plausible. That is why we always build in controls: when in doubt, the agent escalates to a human, and human approval is mandatory for sensitive documents (contracts, large amounts).
- Does not replace craftsmanship. An agent can create a concept, but the final quality remains your responsibility.
Anyone who tells you that an AI agent can run your entire company is selling hype. Anyone who says it doesn't add anything hasn't seriously tried it. The truth is somewhere in between: for repetitive, predictable work, an agent is astonishingly effective.
What does it cost?
That depends on the complexity, but to give you an idea: we can build an agent who answers customer questions based on your existing information from approximately €2,950 one-off, plus hosting and further development from a few tens of euros per month. More complex agents with links to your CRM, accounting or planning run towards €5,000 to €10,000.
Calculate it: does retyping, emailing and quoting now cost you or your team ten hours a week? Such an investment is often recouped within six months. If it does not pay for itself according to our calculations, then we simply do not recommend it.
